Sample sketches and quotes: What software costs a small business: five sample quotes

From an automation on the tools a firm already has, through an AI agent and a small app, to taking over an app from another team. Each quote has a process drawing, three scopes with prices, a payback worked out on the firm's numbers and market prices beside it.

ExampleCompany names and figures are illustrative and point to no existing business. Amounts are net, plus 23% Polish VAT. Rates as of October 2026.

Maintenance is counted differently: a takeover for €2,400 once, then a plan from €120 a month.

Our amounts are converted from złoty at the NBP average rate of 28 October 2026 (table 210/A/NBP/2026, EUR 1 = PLN 4.409) and rounded up. Figures from publications and from the example firm's own market stay in their own currency.

Five examples

From the smallest quote to the largest. Maintenance comes last, because it is paid monthly.

  1. Automation

A furniture workshop's enquiries and quotes

Fitted kitchens and wardrobes, 9 people. Four enquiry channels into one queue, a follow-up form and a quote from a template.

  2. AI agent

A food wholesaler's orders without retyping

140 shops and restaurants, three people in the office. An AI agent reads e-mails, texts and photos of handwritten lists; the office approves the draft order.

What raises and what lowers the price

We ask the same questions for every sketch. The answers move the price more than the choice of technology.

Raises it

  • Systems to connect to, especially without an API.
  • Payments, client login and apps in the stores.
  • Data spread over several spreadsheets or an old program.
  • AI that has to read photos and handwriting: more examples and tests.

Lowers it

  • Working on the tools the firm already has.
  • One process to start and further items after the pilot.
  • Price list, templates and data in one place before the start.
  • One person at the firm who answers within a day.

Why quotes for the same work differ so much

  • „From” prices describe the smallest scope a firm sells.
  • Some firms price design, project management and testing separately.
  • Hourly rates in Polish publications differ almost threefold. The chart below shows them beside ours.

Where we are

We count days of both founders times one day rate. One person's hour costs less with us than in most publications below: the people who write the code work with the client directly.

The hourly rate against the market

What an hour of a developer costs according to five 2026 publications. Almost all come from firms that sell this work.

When not to start with a build

Sometimes it is better to spend less, or nothing. If so, the sketch says it.

  1. The process changes every month

Settle it on paper and in a spreadsheet first. Automating a changing process costs twice: at the build and at every change.

  2. A ready program does it for a subscription

If a subscription program covers almost everything you need, it usually costs less than a build.

  3. The problem takes an hour a week

A change like that pays back over years. The sketch says so plainly and points to what has a bigger effect in the firm.

How we count these quotes

Every quote on this page is counted the same way as yours.

  1. Days of work times one rate: a day of both founders is €480 net, which is €30 for one person's hour.

  2. Three scopes: Start solves the main problem, Recommended closes the rest, and Full adds what makes sense after the pilot.

  3. The range runs from the price without risks to the price with all the risks at once. In the sketch we round it to whole thousands.

  4. Payback is arithmetic on the firm's numbers: hours times the cost of an hour and what is lost, minus the providers and the care plan. The first month counts half, the second three quarters.

  5. Market prices come from 2026 publications, each with its source and date. Currencies are converted at the NBP rate.
