A sample sketch and quote · automation: A furniture workshop: every enquiry in one place and a quote the same day
The smallest quote on this list. An automation on the tools the firm already has: the mailbox, a spreadsheet, the calendar and a quote template. No new app.
ExampleThe firm, its competitors, their numbers and this quote are illustrative and point to no existing business. The method, the rate and the market prices beside the quote, each with its source and date, are real.
- For
- A furniture workshop in Kuyavia: fitted kitchens and wardrobes, 9 people, the owner runs sales
- Kind of work
- Process automation on the firm's current tools
- Recommended scope
- 5 days of work, 2 weeks to launch including a pilot week
- After launch
- No care plan. We bill fixes by the hour, after you agree
Five sentences from the client and one question from us
That is enough to start. We ask the sixth question: how will you know it worked?
From the client
We make fitted kitchens and wardrobes in Kuyavia; there are nine of us and I run sales myself.
Enquiries come from the website form, Messenger, e-mail and the phone, and each one needs follow-up questions about sizes, photos and budget.
I write the quote in the evening in a text editor from our price list, then retype the client's details into a spreadsheet and the measuring calendar.
Clients who hear nothing for two days often pick another workshop.
We want every enquiry in one place with all its details, and the quote out the same day.
How will you know it worked?
Every enquiry gets an answer within a business day, and I stop writing quotes in the evening.
What we read in it
- The problem is four ways in and the follow-up questions. Before a quote exists, half the time goes into collecting sizes and photos.
- Money leaks through response time. An enquiry left for two days is often a lost client.
- An automation on the current tools is enough here. An app would cost more and add nothing.
- The goal can be measured: the time from enquiry to quote and the number of enquiries without an answer after two days.
A one-page drawing of the process
Today and after the change, step by step. You correct this drawing yourself before we count anything more precisely.
Enquiry
1Today: Form, Messenger, e-mail and phone. Each way in checked on its own.
1After the change: All four channels land in one queue in a spreadsheet, with the date and the source.
Follow-up
2Today: The owner writes to the client about sizes, photos and budget, often twice.
2After the change: The client gets a link to a short form: sizes, photos, budget and timing.
Quote
3Today: In the evening in a text editor, with the price list in another file.
3After the change: The template fills in from the form and the price list. The owner checks the quote and sends it.
Answer
4Today: Some enquiries wait two days or more. After the quote, nobody follows up.
4After the change: An enquiry without an answer after a business day goes back to the top, and three days after a quote the client gets a reminder.
Measuring
Today: The measuring date is set by phone and retyped into the calendar.
After the change: The client picks a measuring slot from free times in the calendar. An item in the Full scope.

What this process costs today
For a week the owner noted where her time on enquiries goes. We count the losses from her five sentences.
about €2,800
what this process costs a month today
Hours of work: €1,200. What is lost: €1,600. Both come from the five sentences and a week of notes at the example firm.
23 hours
a week go into this process today
€1,200
a month is what those hours cost
€1,600
a month is lost
About 12 enquiries a month wait more than two days for an answer. The owner says one in six of them ends as an order at another workshop. At a margin of about €800 an order, that is about €1,600 a month.
We count an hour of work at €12, with the employer's costs, and a month as 4.33 weeks.

What could make this smaller
- Some clients leave over price, and a faster answer will not change that. So we count three quarters of the lost enquiries coming back.
- If clients do not fill in the form, the follow-up questions stay. We check this in the pilot week.
Next to three workshops: the best reviews and the slowest answer
We checked the three workshops the client named from the outside, the way her customers do: the form, the price, the measuring visit, past work and Google reviews. We sent each the same enquiry and timed the first answer.
- Client's workshop
- fitted kitchens and wardrobes, 9 people, Kuyavia
- Competitor A
- a kitchen showroom with its own design studio, about 25 people
- Competitor B
- a joiner from the next district, 4 people
- Competitor C
- a chain of kitchen studios with series production
What a customer can do on the site
| On the site | Client's workshop | Competitor A | Competitor B | Competitor C |
|---|---|---|---|---|
| Send an enquiry with sizes and photos | partly | yes | no | yes |
| Get a confirmation of the enquiry at once | no | yes | no | yes |
| See a rough price for a kitchen | no | yes | no | partly |
| Book a measuring visit in a calendar | no | partly | no | yes |
| See past work with its scope and price | partly | yes | partly | no |
| Google rating | 4.838 reviews | 4.5310 reviews | 4.924 reviews | 4.396 reviews |
| Time to the first answer to the same enquiry | 46 h | 2 h | 21 h | 5 h |
- Client's workshop, enquiry: a form without attachments; the customer e-mails photos later.
- Competitor A, measuring: three slots to pick in a form, which the office confirms by phone.
- Competitor C, price: a „from” price per running metre, with no quote for a given kitchen.
- Client's workshop and competitor B, past work: photos with no scope or price.
One enquiry per workshop: a 3.2 m kitchen with photos and a budget. We count the first answer written by a person. Automatic confirmations do not count.
Data as a table
| Firm | Result |
|---|---|
| Competitor A | 2 h |
| Competitor C | 5 h |
| Competitor B | 21 h |
| Client's workshop | 46 h |
What follows
- The workshop has some of the best reviews in the group: 4.8 on Google (38 reviews). It loses on speed: competitor A answered after 2 h, and the client's workshop after 46 h from sending the enquiry.
- Almost two days is the limit from the client's fourth sentence: after that, customers often pick another workshop.
- A form with photos and an instant confirmation are at A and C. For the client they are the Start scope: one queue and a follow-up form.
- Only C offers a measuring slot in a calendar. That is the Full scope. A rough price on the site depends on the client's price list, so we leave it to her.
Three scopes, one rate
Each scope is counted the same way: days of both founders times the day rate. The range comes from the risks below.

- A day of both founders: €480 net, which is €30 for one person's hour.
- Amounts are net, plus 23% Polish VAT.
- Providers in the Recommended scope: about €35 a month. You pay them directly, on your own accounts, at cost.
- In the sketch, one business day after five sentences, you get the same scopes as ranges rounded to whole thousands: Start €1,000–3,000, Recommended €2,000–4,000, Full €3,000–5,000. We close the quote after the free first week.
- Our amounts are converted from złoty at the NBP average rate of 28 October 2026 (table 210/A/NBP/2026, EUR 1 = PLN 4.409) and rounded up. Figures from publications and from the example firm's own market stay in their own currency.
Why we recommend Recommended
Start leaves quotes in a text editor, which is six hours a week. Recommended closes all four places in the drawing for two more days of work. Full gives back no more than Recommended in the first year: measuring is booked once per order, and the report is useful only after a few months of data. We propose it as a second step, at the same rate.
Less money means fewer items
If the budget is smaller, we strike items from the table above, starting with the last scope. The day rate stays the same, and each item we strike takes its days with it.
What the price leaves out
- Furniture design software and technical drawings.
- An online shop and payments.
- A new website: we embed the form in the current one.
- Fees for tools the firm does not have yet. In this example it has an office suite and a mailbox.
Payback and the cost of the first year
Payback is arithmetic on the example firm's numbers: hours times the cost of an hour, plus what is lost today, minus the providers. We check the result after three months.

| quarter 1 | +€1.1k | +€1.8k | +€910 |
| quarter 2 | +€4.8k | +€7.3k | +€6.8k |

| Providers for 12 months | €276 | €420 | €684 |
| First year | €1,716 | €2,820 | €4,044 |
- You pay for the build once. Providers and the care plan are monthly, so we show them apart.
- We propose no care plan here. The industry rule, 15–20% of the build's price a year, gives €30–41 a month, less than the smallest plan, so we bill fixes by the hour, at €30 an hour, after you agree. Care plans after launch
What we recommend and why
Recommended and Full both pay back in the third month. After a year both scopes are about €18k ahead. We recommend Recommended now and the Full items after three months, once there is data for the report.

Risks and what we do about them
Each risk has a name, a plan and an effect on the price. The top of the range is all the risks at once.
| Risk | What we do | Effect on price |
|---|---|---|
| The mailbox or Messenger does not allow automatic forwarding | Forwarding through a separate address or a daily export. We check this on day one. | +1 day |
| Messenger messages come in different shapes | The whole message goes into the queue, and the follow-up form collects the rest. | +0.5 days |
| The price list has exceptions that are not in the file | The template prices the standard items and leaves the exceptions to fill in by hand. | +1 day |
The bottom of the range assumes the price list is in one file and the mailbox allows forwarding: then we save half a day.
